Plans to roll-out software for Accounts Receivable, Accounts Payable, Dispatch
Richmond Hill, Ontario, Canada (September 18, 2015) – Microdea Inc. today announces that Downton’s Transport of Lacombe, Alberta has selected Microdea’s Synergize document management system to streamline management of their Accounts Receivable (AR) and Accounts Payable (AP) processes. Kicking off the project with AR in their Freight division, Downton’s expects to expand use of the software to their Oilfield Services, Cutting Edge Energy and Completions divisions. Synergize will be integrated with TMW Systems’ transportation management software TruckMate®, which Downton’s has been employing since 2001.
Processing an average of 1,000 AR invoices per month, Downton’s creates the invoice and dispatches it out of TruckMate. Supporting documents are captured in one of three ways: via scanner, from any Microsoft Office application such as emails in Outlook and text documents in Word, or virtually printed to the Synergize printer for indexing and saving into Synergize. The workflow will be streamlined and provide visibility to exactly where a document is in the queue. Anticipating the roll-out to AP, the Synergize optical character recognition (OCR) capability will be employed allowing Downton’s to capture key data points off the vendor invoices. This is expected to expedite processing and reduce the potential for data entry errors.

This will allow us to track the paperwork more efficiently and make everything run much more smoothly. I’m pretty excited about it.”

Future plans include using Synergize for Dispatch, which will re-engineer the entire process, replacing colour-coded spreadsheets that are currently used to track jobs. As well, Downton’s plans to use Synergize as a readily-accessible repository to consolidate all of their Equipment documents such as the bill of sale, lease agreement, and any other scanned material associated with each piece of equipment.
