The HR Department was using a legacy imaging system to scan and convert all paper personnel files for drivers and internal team members into electronic images. The process presented them with a number of challenges, including:
- Indexing documents was cumbersome and time-consuming, which resulted in a year’s backlog of paper documents
- The quantity of driver files related to onboarding, orientation and safety, together with all other internal employee documents, was becoming exceedingly difficult for the HR department to manage

TMW-Synergize, provided by Microdea and TMW Systems, was selected by USA Truck Inc. for its proven integration and usability. This technology allowed all paper documents to be scanned and stored in a secure electronic document repository. Documents from electronic sources were saved directly to TMW-Synergize, which eliminated the previous process of printing and scanning various documents and emails in order to convert them to images.
The solution provided a simple process for attributing various classifications to documents. This facilitated fast and effective searching and made required files instantly accessible to authorized HR employees through an easy-to-use web user interface.
Results
