How an Electronic Document Management System was integrated with PeopleSoft at the University of Calgary. This includes scanning, look up of the electronic student file from PeopleSoft and how to capture word documents from PeopleSoft word merges and mass emails from PeopleSoft processes to the student file. This explores the advantages to the institution.

• *Click on a custom file folder icon wherever negative and positive service indicators appear for a student and retrieve all of the electronic documents pertaining to the student.
• If you are scanning, use a customization integration with PeopleSoft to do a host name check to make sure the document is being electronically stored with the appropriate student. This is so that the first five characters of the surname on the document matches the first five characters of the surname on the PeopleSoft database.
• Also, the advantages of capturing word merge files and mass e-mails to the individual electronic student file. This can be used to be a history of communications to the student. What were the fees owing, when were fees due, why wasn't the student moved from a wait list, when was an enrollment override applied, what was the exact content of the admission letter?
