Document Management
Once captured and indexed, the electronic document now exists as structured data and may be managed accordingly. Document management tools within Synergize include advanced annotation, archiving, and version control with Check-In/Check-Out functions.
Document Retrieval
When integrated with other systems, documents are typically retrieved from the Synergize DMS through the front-end User Interface (UI) of the existing system. For most uses, this method is optimal because the learning curve for end-users is nominal and the need to restrict access to a particular piece of information has already been addressed by the legacy system.
Within the context of the Synergize client (100 percent browser based JAVA tool), documents can be sorted for retrieval through a flexible, user-defined hierarchical tree viewing structure. In addition, Synergize provides for other multi-level search capabilities, including: fuzzy search topics (i.e. wildcards) and Query-By-Example. Documents and users can be organized into groups, each with unique access permissions in accordance with current corporate and compliance regulations.
Retrieval can exist concurrently, with some end-users accessing Synergize via third-party application or Web portal while others within the same organization accessing those same documents directly through the Synergize client software. User requirements, not design ideology on the part of the software vendor, drive the method of retrieval.
The Synergize User Interface (Explorer)
The interface provides users with a consistent user-friendly application for sorting, categorizing and locating files. Upon exiting, the Synergize client will store last used preferences , allowing users to resume working with preset preferences.
Tree view mimics the already familiar Windows Explorer presentation of files. Since the individual files have been indexed, the presentation of those files is mutable to that which is most appropriate to the user’s job requirements. The drag-and-drop category builder allows authorized users to dynamically create their own custom trees (file folder) views in addition to administrator-defined tree views.
The Synergize Web Explorer client supports a variety of browsers, including: Internet Explorer, Netscape, Mozilla Firefox, and other browsers, as well as Non Microsoft Windows platforms such as Linux and Mac. Documents can be displayed in the native document format or as Adobe Acrobat PDF files to ensure easy viewing.
The Synergize Web Services API is easily integrated behind any Web-based application and portal. Single sign-on is supported through Active Directory and LDAP (many variations of LDAP exsist, testing by Microdea must be done before hand to verify single sign-on Integration) to ease IT involvement and end-user navigation/ training.
