Synergize Tips and Tricks

In this edition we would like to provide you with a Tip and a Trick that can assist you to better utilize your Synergize system.

1) Now you can scan black/white and colour documents in the same batch (requires scan capture with Kofax) and save the entire batch as one file. Synergize Index Scanning module supports TIFF Group 4 and now also TIFF Group 7 image standards, which gives you additional flexibility when scanning mixed documents.

This is especially effective for processes that frequently include a mix of black/white and colour documents. Synergize automatically saves coloured pages in colour and black/white pages in black/white to produce smaller file sizes. When scanning in duplex mode, a colour document with a blank backside can be saved in colour and the blank side in black/white. If a document is on coloured paper, the coloured background can be eliminated if desired and the document can be scanned in black and white to again limit the file size.

You also have the capability to ignore colour in small areas, so logos or highlighted portions of a document can be scanned in black and white if necessary. Settings for the colour threshold and process configuration are all configurable.

2) Backup the most current content instead of backing up historical profiles over and over. Monitor storage profile size and create new profiles to help with future migrations and to allow more flexibility in the management of space.

Synergize indicates the active profile. Make sure you back up the active profile daily and historical profiles at your convenience. Historical profiles are still active for reading and check in/check out. This will enable you to get backups done in shorter time since you are not needlessly backing up older profiles. Management of space is also improved as profiles can be moved/re-pointed and data is managed to effectively fit to the backup media (i.e. tape).
