Given the high driver turnover with many fleets in the transportation industry, there is a significant value in being able to automate and reduce recruitment and application review procedures.
Human resources professionals are required to manage a great deal of information quickly, thoroughly, and in compliance with statutory regulations and standards. TMW-Synergize™ for Driver Recruitment assists through automation of labor-intensive, repetitive tasks associated with gathering and confirming driver qualifications.
Through a friendly web portal the solution allows drivers to promptly apply to posted positions. The intuitive interface permits applicants to send documents, update their application package and be informed of their status.

The automation of data validation and compliance reporting helps recruiters and other human resources professionals to individually manage greater numbers of applicants and employees. With administrative tasks performed consistently and accurately in the background, more time is available to manage exceptions and advance other business initiatives.
Direct Access to Documents
Driver application information and supporting documents are submitted directly to TMW-Synergize™ through the TMW Recruiting Portal.
Electronic documents, including e-mail and attachments, may be printed directly or saved to a local folder monitored by the TMW-Synergize™ Desktop system tray application. When using the monitored folder, any format may be stored, including editable spreadsheets and digital photographs. The documents are readily available for review by recruiters and human resources professionals through the TMW Recruiting Application Interface.

Process Management (Workflow)
TMW-Synergize™ starts to work by assigning to all documents in the package a unique ApplicationID. Next, it compares key contents of the Application for Employment against a locally maintained database of hiring standards and rejecting any that fail to meet non-negotiable values as determined by corporate best practice (e.g. underage applicant).
A list of outstanding tasks is provided in a worklog, containing items such as an unreadable or missing driver’s license. Applicants are sent automatic email notifications when their driver application status has changed, prompting them to check their status online to see if any documents need to be updated or resubmitted. This enables applicants to be continuously aware of their driver application status from submission to approval/rejection, and also quickly upload any required documents. TMW-Synergize™ for Driver Recruitment ensures that all required documents have been received before advancing the application package to the attention of the human resources professional for more thorough evaluation.

In the process of confirming the driver applicant, information requests to state agencies and former employers are captured and indexed by ApplicantID where they are automatically collated with the Application for Employment and all other documents sharing that unique value. As record requests are returned they are likewise captured and indexed by ApplicantID, with the completed application package advanced to the human resources professional for final evaluation.
The application package is not limited to this single review queue, if it requires approval from additional management personnel, TMW-Synergize™ offers flexibility to allow the package to enter a customized workflow to expedite the process.

Following the final evaluation, if the applicant meets hiring criteria, their status is advanced from “Unconfirmed Applicant” to “Confirmed Applicant” for later sorting and retrieval. TMW-Synergize™ has several intuitive methods for organizing data within the TMW-Synergize™ Web Explorer client software, including for example, enabling recruiters to quickly identify all confirmed applicants living in a select state and having a specific certification.
Should the applicant be hired, their status is advanced from “Confirmed Applicant” to “Employee” and the documents of the application package updated with an EmployeeID, as generated in the TMWSuite system.
As the driver transitions from applicant to employee and over the course of their time with the company, additional documents may be added from a variety of sources and bound together by EmployeeID. Documents may be purged from the system as necessary by users with appropriate security clearance, including the easy removal of any file not required by law or statutory regulation after the driver leaves the company.
