Solution Overview
TMW-Synergize™ for Rate Confirmation Management is an add-in module to Billing and Payables that helps Freight Brokers to automate the rate confirmation process with their carriers and expedite payables and receivables after the load is completed.
Rate confirmation under a paper-based system is a very time-consuming and labor-intensive process, inhibiting freight brokers from verifying load rates with carriers and advancing transactions. TMW-Synergize™ for Rate Confirmation Management allows freight brokers to automatically receive rate confirmation, check carrier information from the dispatch system, identify unsigned and missing documents, confirm shipping orders, and advance related documents to both payables and receivables workflows.
Automation begins with the Rate Confirmation template, modifying it to include a barcode identifying the unique load number from the dispatch system. On generation of an unsigned Rate Confirmation by the dispatch system, TMW-Synergize™ for Rate Confirmation Management;
a. stores a copy of the unsigned Rate Confirmation in TMW-Synergize™
b. retrieves carrier notification preferences from the dispatch system
c. sends the unsigned Rate Confirmation to the carrier by e-mail or fax per their notification preferences
Once a carrier has completed the load they will be instructed to use the Rate Confirmation sheet as a cover page and return it with the Carrier Invoice and any Supporting Documents by fax or e-mail. Where a document bundle arrives by e-mail or by electronic fax it is captured directly into TMW-Synergize™. Where a paper-based fax solution is in use those documents are manually scanned and indexed.
On receipt of a signed Rate Confirmation with Carrier Invoice and Supporting Documents, TMW-Synergize™ for Rate Confirmation Management;
a. parses the unique load number from the Rate Confirmation
b. retrieves from the dispatch system database the CarrierID, Consignee, DeliveryDate, and Shipper
c. splits the document bundle into Rate Confirmation (first page), Carrier Invoice (second page) and Supporting Documents (all subsequent pages)
d. advances the Carrier Invoice to the Payables workflow queue
e. advances the Supporting Document to the Billing workflow queue
f. retrieves the next document for indexing
As the documents are advanced to both TMW-Synergize Billing and TMW-Synergize Payables workflows, the respective modules will receive and process the documents accordingly.
