Solution Overview
Managing accounts receivable is a critical component of a company’s profitability strategy. Collections are a complex and wide-ranging process that involves many components and parts of the organization that must fit perfectly for the process to be effective. TMW-Synergize™ Collections for TruckMate® is an add-in that helps your collection team to improve results by monitoring and categorizing overdue invoices, sending automatic messages and billing packages to clients and alerting the management team of outstanding receivable status.
Process Management (Workflow)
TMW-Synergize™ Collections for TruckMate® provides a flexible workflow tool that helps companies automate their collections process. On receipt of an aging report from TruckMate®, TMW-Synergize™ Collections for TruckMate® will extract client and transaction details from it, and send to each client by e-mail their original billing package (invoice and supporting documentation) with a configurable message as determined by days outstanding. Configurable days outstanding message templates are available for invoices exceeding 45, 60, 90+ days past due, respectively.
On receipt of a supported aging report, TMW-Synergize™ Collections for TruckMate® will;
a. parse client and transaction details from the report
b. categorize the billing package referenced in that report per its status (45, 60 or 90+ Days Past Due, or "Paid")
c. advance the billing package to a workflow queue per its category
d. if the category is anything other than "Paid",
e. generate an e-mail message for the billing package, tailored per its category, and,
f. generate a collection e-mail message, tailored per its category, as a reminder to the outstanding clients with copies
of the previous billed invoice and back up documents, and,
g. e-mail each billing package

The TMW-Synergize™ Collections for TruckMate® add-in is provided as a turn-key solution with a defined scope and configuration. Additional user licenses may be incrementally acquired, as well as any customization or other professional services.
