Haney Truck Line is headquartered in Yakima, Washington, and provides quality transportation services to points in Washington, Oregon, Idaho, Montana, Wyoming, Utah, California and British Columbia, Canada.
BUSINESS CHALLENGES
In 2003, the management of Haney Truck Line, LLC, was relying on an unproductive, manual and paper based system to assemble Proof of Delivery (POD’s) receipts. The process of gathering POD’s from 5 remote offices included: identifying, sorting, copying, routing and finally invoicing the customer. Haney Truck Line required a more efficient means to manage POD receipts.
SOLUTION
After evaluating several vendor solutions for document management, Haney chose Microdea’s Synergize document scanning, workflow and management solution. Now POD documents enter the system by being scanned at the Yakima headquarters or the Fresno, CA terminal, and are scanned and indexed by a billing and payroll scanning staff member. The POD’s automatically update the dispatch system and are routed to the appropriate billing member.
RESULTS
Printing, stuffing and applying postage has been reduced by almost 40% in 2008. Haney is now realizing an annual savings of $84,000 by emailing PDF versions of the master bill, invoice and the associated POD’s to their clients.
“Our customers love PDF invoices and we are switching new ones every month. In September 38.5% of our invoices were sent via PDF and that percentage continues to grow,” said Mike Johnson, Information Systems Manager.
