The Challenge: Manage information more efficiently

Documents for all U.S. remote agent sites offices are sent to Atlas’ Head Office. Efficiently managing the increasing volumes of documents was becoming a problem, combined with the growing costs associated with retrieving and storing the information.

Atlas’ goals were to eliminate labor-intensive manual paper processes, provide scanning to remote agent sites and to introduce workflow at head office in order to provide the most efficient method of tracking and routing documents.

To encourage the participation of the independent agent sites, Atlas had to ensure that their scanning costs were minimal and the scanning process simple to use for the staff.

The Solution: Leading edge scanning and workflow with Synergize

Microdea was selected due to Synergize’s leading edge scanning and workflow features. Another major factor was Synergize’s ability to integrate with TMW Systems. Microdea is a TMW Systems technology partner.
 
Microdea met Atlas’ requirements for a vendor that could provide extensive product customization to meet their specific and complex workflow needs, as well as deliver a competitively priced product with realistic implementation costs.

At Head Office, Workflow was initially implemented within the Specialized Transportation Group Processing department and has now been rolled out to approximately fifty users in the Relocation Services Group.

Currently eighty-four agents have access to remote scanning and there are plans to roll this out to all four hundred remote agent sites.

Results: Enhanced customer service and reduced operating costs

Atlas expects both head office and remote agent sites to experience significant cost savings due to reductions in paper management, file room storage, photocopying, courier and paper distribution costs. Eliminating manual paper processes will also lead to fewer staff required to handle paper files.

Since implementing Synergize, Atlas staff within the Specialized Transportation Group Processing and Relocation Services Group can now quickly retrieve documents and respond quickly to agent and customer inquiries. Valuable employee time is no longer spent searching for misplaced or lost documents.

Supporting documents can be immediately emailed to agents, allowing them to provide total customer satisfaction. No more waiting for documents to be located, retrieved and then mailed or faxed from head office.

With Synergize Workflow, supervisors can better manage and balance their workload as information can be quickly tracked from start to finish.

The billing cycle will be reduced as invoices can be automatically emailed to customers, reducing customer response time. More invoices will be produced in less time.
